The Challenge
As Ampleo’s marketplace expanded, its quoting process became increasingly time-consuming and fragmented.
Consultant profiles, expertise, and rate data were stored in Google Firebase, while deals and client communication were managed in HubSpot.
To create a single quote, Partners often had to:
- Reference consultant data outside of HubSpot
- Manually copy consultant bios, pricing, and scope details into documents
- Toggle between systems to finalize quotes and consultant service agreements
This manual, multi-step workflow increased the time required to produce quotes, introduced opportunities for error, and made it difficult to maintain consistency across proposals. Native quoting tools alone were not designed to support Ampleo’s marketplace model or external data source.
Ampleo needed a way to centralize quoting inside HubSpot while continuing to manage consultant data externally.

The Solution
Using the HubSpot UI Extension, InboundAV built a custom card that turns the deal record into a single, guided quoting workspace, consolidating consultant data, pricing logic, and document generation in one place.
Centralizing Data Via Custom Integration
InboundAV started by implementing a custom integration to migrate Ampleo's consulting data from its primary storage in Google Firebase directly into HubSpot. Using a HubSpot UI Extension embedded on the deal record, Partners can view and select consultants while assembling quotes, removing the need to reference external tools or documents during the process.
This approach allows HubSpot to serve as the single location where quotes are assembled, reviewed, and finalized, while Firebase remains the system of record for consultant information.
Streamlining Pricing and Quote Assembly
With consultant data available inside HubSpot, InboundAV structured the Quote Builder to support multiple pricing models, including hourly, fixed-fee, and commission-based engagements. As consultants are selected, the quoting workflow handles pricing calculations automatically, eliminating manual calculations and reducing reliance on spreadsheets.
Generating Quotes and Service Agreements
After finalizing pricing and scope, Partners can generate branded client quotes and consultant service agreements directly from HubSpot. The Quote Builder automatically populates consultant bios, pricing details, and scope information into custom templates, ensuring consistency across documents and reducing manual formatting or rework.
Supporting Accuracy and Process Consistency
InboundAV also implemented validations within the Quote Builder to ensure required information is captured before quotes are sent. Behind the scenes, serverless functions keep deal data, consultant selections, and generated documents aligned, allowing the integration to support a consistent and repeatable quoting process.
